About the pre-execution phase

What is the pre-execution phase?

Previously on Maindeck when you selected a shipyard, a snapshot would be taken of the yard's quotation and registered as the planned cost, and all changes thereafter were changes to the actual cost. In reality, there is a time between when you select a shipyard and when the actual works starts, and in this time period you want to continue updating the planned cost. 


This is where the pre-execution stage comes in. It starts from the moment you select a yard until you move it to the Execution phase. During this time, you can continue adding and editing the yard quotation and it will only update the planned cost. The actual cost will be updated only once the yard visit starts and you move the project to Execution phase. 


Where to I update costs during the pre-execution phase?

To update the cost during the pre-execution phase, it's the easiest to do it directly on the page "Work orders". From here you can add additional costs, edit cost items and connect owner's supplies. 


Please keep in mind that the page "Budgeting and cost" is for the Execution phase. So during the Pre-execution phase you will not be able to edit cost on the "Budgeting and cost" page.


Things to review during the pre-execution phase

Since this is your chance to update the planned cost before you move on to the Execution phase, it's wise to review certain aspects about the project. Here are a few tips on things to review:

  • Quantities of cost items. The cost of a cost item is the quantity multiplied by the unit price. As such, it's important to have an estimated quantity. You can always correct it later on, so an estimate that needs to be corrected later is better than one which is just set to 1. Examples of cost items where the quantity should not be set to 1 is Staging, Manholes (open/close) and keel/side blocks just to name a few. If you have cost items just for the sake of having the price quoted in case it will be needed during the project, then simply set the quantity to 0. 
  • Missing cost items. Check that all cost items have been added. If the shipyard will charge extra for staging, access or certain supplies, then make sure you add those costs as cost items. Another tip: If you discover that a work order should have additional cost items added to it, check with your account admin if you should also update the work order template so that it will be included on future projects.
    Additionally: Make sure that all work orders that are to be executed by the yard have cost items connected to them. To help you, a warning symbol will be display for all those work orders that have been marked as for the yard, yet are missing cost items. 
  • Owner's supplies on the project. It's not only the yard costs that have planned vs actual costs, the same goes for owner's supplies. Make sure that you have added all current owner supplies on the page "Owner supplies". 
  • Owner's supplies connected to work orders. A lot of the cost overviews on Maindeck are displayed based on your project's group structure. In order to display owner's supplies in that overview, particularly with planned vs actual costs, you should connect each owner supply to at least one work order. 


Generate cost overviews

Generate cost overviews on the page "Budgeting and cost". The Cost overview report which is generated from the Export button, will show only planned cost during the Pre-execution phase. Once you are in the Execution phase, it will

Important to think about

Remember to move the project to the Execution phase before you go to the shipyard. If you don't, then you will keep updating the planned cost also during the shipyard visit, which could affect your cost overviews. 

To help you remember to move the project to the next phase, an icon will appear next to the Pre-execution tag when it's two days remaining until the planned start date.
